This is why we’ve addressed some common lodging issues faced by travel managers and their road warriors. These updates may seem small, but in the long run they could save your company time, money, and a whole lot of frustration. Check out our latest updates:

  1. Get the best lodging option for short stays. We know that our clients’ top priority on short stays is getting a reliable reservation quickly. That’s why we’ve standardized our service to provide all requests for 1-4 nights, excluding projects, with the single best option.

    If your company is already set up to receive the best option for short stays, then you may not notice a change; however, others will notice the improvement. By standardizing this service for shorter stays and sending only the best option available, it speeds up the process and shortens the turnaround time on making reservations.

  2. [sidebar]What to Do When Travelers Have Issues at Check-In
    If the front desk tries to charge a traveler for a higher limit (which occurs often), this could result in the front desk advising him or her that payment has been declined. If this occurs, please advise travelers to call CLS immediately at 888-852-5100 #2, or ask them to give the front desk their 800-card so the hotel can call us directly. This way we can resolve the issue right away![/sidebar]Meeting room services are available. Need space for your travelers to conduct business while they’re on the road? CLS will assist you in arranging all of your meeting room needs. The fee to process a meeting room is $50 or 10%, whichever is greater, per booking.
  3. Prevent unauthorized stays, extensions, and cost increases. Regardless of how organized you are before your travelers head out of town, we know things can change at check-in. It’s not uncommon for the front desk to raise the rate without approval at check-in, or for travelers to extend their stay. This often results in unnecessary cost to the client, as these changes result in a much higher rate than CLS offers.

    CLS already has limits in place to prevent these issues from affecting our clients, but we want to streamline the process even further. Starting in 2014, CLS will provide the hotel with authorization for only the reserved number of days, authorized incidentals, and the additional cost of tax. By setting the correct limits up front, less time will be spent finding and correcting errors, ultimately allowing us to bill our clients faster, ensuring that funds tied to specific projects are freed up more quickly.

    In addition, to prevent unauthorized singles, extensions, and walk-ins, all invoices for stays not booked through CLS will be refused. When this happens, the hotel will seek payment from the traveler. If it’s an authorized company stay, the traveler will then go to the company where an authorized requestor will advise CLS to process the request.
